Duties:The school secretary manages and maintains a friendly, positive customer-service oriented office as well as the oversight of attendance, enrollment, and the daily processes of the school office. The school secretary reports to the site administrator, or designee, and will coordinate all school records, inventories, and serve as a resource for staff, board and the public in interpreting and/or implementing the school’s policies/procedures. In this capacity, they will work under the administrator and assist in overseeing the school office operations, attendance, enrollment and finances. Cultivate a climate and culture based on service to others and passion for children. Assist administrators with duties as assigned. Supervise and manage other staff as assigned, ensuring the mission/goals of the school are met.
- Experience working in a school environment with administrators, teachers, parents, students,
- board members, and community stakeholders
- Knowledge of Oklahoma charter school law and knowledge of charter school operations is preferred
- High school diploma or equivalent; additional training in secretarial or business/office skills preferred
- 3+ years office/clerical experience in an educational setting preferred
- Working knowledge of office procedures and the operation of office equipment.
- Proficiency in operating software (Word, Excel , Google docs, or other) and Student Information Systems
- Proficiency in all aspects of office etiquette; organizational, communication skills, and interpersonal skills; telephone etiquette; listening skills; and business communications including spelling, composition and proofreading
- Knowledge of current best office practices, procedures, including basic first-aid and/or CPR
- Knowledge of accounts receivable/accounts payable
- Knowledge of federal programs and school procedures preferred, including Child Nutrition guidelines
- Ability to communicate in Spanish is desirable
- Such alternatives to the above qualifications as the Board may find appropriate and acceptable

Skills / Requirements:We are seeking a professional who has strong leadership skills, broad experience and knowledge in handling multiple projects/deadlines simultaneously. Has the ability to make decisions and maintain a professional, friendly, courteous, and efficient office environment. Has excellent interpersonal and communication skills, bilingual (Spanish) preferred. Is a self-starter with the ability to manage and complete projects independently. Is self-directed, enthusiastic, and goal oriented. Can work under tight deadlines while still maintaining strict confidentiality, attention to detail, quality, and accuracy. Ability to maintain good judgment and composure during emergency situations and in assisting with any first aid or CPR situations.
LANGUAGE SKILLS:Ability to read, analyze and interpret general professional journals, technical procedures, and/or government regulations or guidance. Ability to write reports and correspondences as may be appropriate. Ability to effectively present information and respond to questions in one-on-one and small group situations to students, parents, teachers, staff and the general public.
MATHEMATICAL SKILLS:Ability to plan budgets and use the mathematical skills required to do so. Ability to maintain accurate records and supportive documentation for projects under the supervision of the position.
REASONABLE ABILITY:Ability to define problems, collect data, establish facts and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical and diagram form and deal with several abstract and concrete variables.
OTHER SKILLS AND ABILITIES:Ability to use computer and computer related programs and other technologies needed to perform essential job functions. Ability to apply knowledge and current research and theory. Ability to establish and maintain effective working relationships with students, staff, and the community. Ability to organize and chair or facilitate committees and meetings. Ability to communicate clearly and concisely both in oral and written form. Ability to perform duties and awareness of all school requirements and Board of Directors policies.
